Committee Booth Exhibiting Policy

The Georgia Association of Water Professionals is an umbrella organization for a number of organizations and committees. The committees are a very important part of GAWP. In order to support to our committees, sections, and member association, GAWP provides booths at all of our regular conferences for use in displaying information and to hopefully solicit interest in joining and becoming active.  

In general, GAWP provides committee booths in the exhibit hall with all the other (paying) exhibitors. There are certain requirements which our paying exhibitors must comply with, and we should hold ourselves to the same or higher standards. These items are specified in the contracts which the exhibitors must sign and while we will not require committees to sign contracts, we are providing a summary of the requirements so you can be aware and comply with them. One item which has become an issue is that of setup and tear down time.  GAWP imposes a penalty on regular exhibitors if they do not comply with the setup time and/or tear down times per their exhibit contract. We cannot allow committees to setup and/or breakdown booths at times different than the ones which we require our paying exhibitors to meet. Therefore, we have modified the exhibitor rules and regulations for committees.   

Industrial, Spring, and Fall Conferences & Expos Exhibit Set-up Times: Monday prior to the Conference, from 12 noon to 6 p.m.

Annual Conference & Expo Exhibit Set-up Time: Saturday prior to the Conference from 12 noon to 6 p.m. and Sunday from 9 a.m. to 2:30 p.m.

 

Committee Rules & Regulations for Exhibiting:  

1. GAWP will provide each GAWP Committee an exhibit space as requested at the Industrial, Spring, Annual & Fall Conferences.  This exhibit space may be located inside the exhibit hall or may be located outside the exhibit hall in the pre-function area as space allows.  

2. GAWP and the authorized representative of same, reserve the right to request modification of any questionable or unprofessional exhibit as it relates to GAWP. 

3. The Committee must have personnel present to complete setup prior to the beginning of the conference registration. Setup and tear down times will be listed and will be strictly enforced. Once registration has opened, exhibits or display materials CANNOT BE SETUP whether it be in the exhibit hall or in the lobby or pre-function area.

4. Exhibit materials may not be removed prior to the given date and time. Late setup and/or early breakdown will result in the forfeiture of the Committees right for future exhibit booths for the next 12 months. Exceptions can be made for one day exhibits if prearranged.  These exhibits will be setup in the pre-function area so the exhibit hall is not disrupted.

5. GAWP will have sole control over admission of all persons. GAWP will provide all space requirements for the booth, tables, etc, however, all attendees working the committee booths will be required to register for the conference.  No comp registrations are allowed.
